Loadout Ledger

Legal

Terms of use

The short version: Loadout Ledger is a private recordkeeping tool. Use it lawfully, keep your password safe, and treat it as your notes, not as a manual or legal advice.

Effective October 28, 2026 · The Phalanx Project LLC

01

The agreement

These terms cover the Loadout Ledger app for iPhone, iPad and Android, the web app at loadoutledger.com/app, and the optional cloud account behind them. Loadout Ledger is published by The Phalanx Project LLC of Honolulu, Hawaii ("we", "us"). By using Loadout Ledger you agree to these terms.

On iPhone and iPad, the app is licensed to you under Apple's Licensed Application End User License Agreement. These terms add what is particular to Loadout Ledger and its cloud service. Where they conflict on the license to the app itself, Apple's agreement governs there. On Android, the app is licensed to you under these terms, and the Google Play Terms of Service apply to getting it from Google Play. Our privacy policy explains what the app collects and sends.

02

Free and Pro

Free includes the whole record: firearms, range days, ammunition, maintenance, accessories, magazines, documents, reports, export, and, with a cloud account, encrypted sync and the web app. It holds up to 5 active firearms; sold, transferred and retired firearms do not count toward that number.

Pro adds:

  • every firearm you own, with no limit on active firearms
  • research for any make and model: intel and specifications filled in for you, with a synced account
  • ammo barcode lookup: scan a box and the cartridge, bullet and count fill themselves in, with a synced account

Pro costs $4.99 a month or $39.99 a year in the United States; the App Store shows the price in your currency before you buy. If Pro ends, nothing is deleted: your records stay, and you cannot add another active firearm while you hold more than 5. Research and barcode lookups carry a fair-use limit, currently 20 a day per account for lookups that need a fresh web search; answers the service already holds do not count.

03

Subscriptions

  • Pro is an auto-renewing subscription sold through the App Store in the iPhone and iPad app. Payment is charged to your Apple ID when you confirm the purchase. The Android app does not sell Pro yet; a synced account that has Pro brings it to Android.
  • It renews automatically at the same price for the same period unless you cancel at least 24 hours before the current period ends. Your Apple ID is charged for the renewal within the 24 hours before the period ends.
  • Manage or cancel it on your iPhone or iPad in Settings, then your name, then Subscriptions. Canceling stops the next renewal; Pro stays on until the end of the period you paid for.
  • Refunds are handled by Apple under its own policies; we cannot issue App Store refunds.
  • Signed in to a synced account, Pro comes with you to the web app. One subscription belongs to one Loadout Ledger account. Deleting the cloud account does not cancel the subscription.

04

Your account

A cloud account is one username and one password. The password seals your vault on your device, and we never receive it, so there is no password reset. If you lose the password, neither you nor we can open what the cloud holds. Keep it somewhere safe, keep a backup with Export all data, and keep your devices locked. You are responsible for what happens under your account. You can delete the account at any time from the app or the web app.

05

Your records

What you enter belongs to you. We claim no ownership of it, and we hold only encrypted copies we cannot read. You give us permission to store and transmit those encrypted copies only to provide the service to you. You can export everything at any time.

06

Recordkeeping notice

Loadout Ledger is a recordkeeping application. It is not a replacement for your firearm’s manual, the manufacturer’s instructions, certified instruction, safe firearm-handling practices, or the laws that apply to you. Nothing in Loadout Ledger tells you how to operate, modify, or repair a firearm. Manuals and links marked Official come from the manufacturer; everything else is your own notes.

Catalog suggestions, intel paragraphs, research results and barcode answers can be incomplete or wrong. They are suggestions to check against the manufacturer's own documentation, never specifications, safety guidance or legal guidance. Collection values are your own estimates, and the insurance report is a document you produce, not an appraisal.

07

No marketplace

Loadout Ledger never facilitates buying, selling, transferring or locating firearms or ammunition. It has no listings, no seller directory, no purchase links and no messaging between people. The wish list and the ammunition records are your private notes. The app gives no instructions for manufacturing, modifying, converting or repairing firearms.

08

The laws that apply to you

You are responsible for knowing and following the laws that apply to you wherever you are, including the laws on owning, storing, carrying, transporting and transferring firearms and ammunition. Loadout Ledger does not tell you what those laws require. Recording something in the app does not make it lawful, and the app is not designed to meet any recordkeeping duty the law places on you or on a business, such as a dealer's acquisition and disposition records.

09

Acceptable use

Use Loadout Ledger only for lawful, personal recordkeeping. Do not:

  • use it to plan, record or support anything unlawful
  • try to reach another person's account or data, or share your account
  • probe, disrupt, overload or work around the security or limits of the service, including by automated or scripted use of research and barcode lookup
  • copy, resell or offer the service, or its research answers, as your own product
  • store material you have no right to keep

We may suspend or close an account that breaks these terms. The records on your devices stay with you.

10

Third-party content

Manufacturer product images belong to their manufacturers and are fetched only at your request for your private record. Photos found through web search carry the license and credit their owners chose, which the app stores with each photo; respect them if you use a photo anywhere else. Research sources and manual links lead to other people's websites, which we do not control.

11

The service

We work to keep the cloud service available and your encrypted copy safe, but we do not promise it will always be available or free of errors, and features may change. The app keeps working on your device without the service. If we decide to close the cloud service, we will say so in advance so you can export your records.

12

Liability

To the extent the law allows, Loadout Ledger is provided as is, without warranties of any kind, and we are not liable for indirect, incidental or consequential damages or for lost data. Our total liability for any claim about Loadout Ledger is limited to what you paid for Pro in the 12 months before the claim. Some places do not allow these limits, and nothing here takes away rights your local law gives you that cannot be waived.

13

Governing law and changes

These terms are governed by the laws of the State of Hawaii, without regard to its conflict of laws rules, and any dispute belongs in the state or federal courts in Honolulu, Hawaii. If we change these terms, we will update this page and its effective date; continuing to use Loadout Ledger after a change means you accept it.
